The Office Manager will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
Incumbent will work independently and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Incumbent will perform ad hoc administrative projects in support of that role and assist the senior human resources staff handle duties in support of their various departmental functions.
This includes but isn't limited to communications, personnel, and timekeeping for the Office of Human Resources team members and office operations of the CHQ.
Key job
Responsibilities:
Manage and support the day-to-day operations of the NJ office.
Coordinate office events, including luncheons and parties.
Set-up/teardown of business meetings and events.
Complete facility walkthroughs ensuring office spaces, kitchen, and commons areas are neat and clean.
Oversee ordering and stocking of kitchen and pantry area.
Supervise coffee or lunch service when clients / guests are in the office.
Oversee mailroom responsibilities such as gathering and distributing mail & packages and mailing out the same.
Support in maintaining current filing and database system.
Foster a positive and supportive office culture that promotes collaboration, open communication, and teamwork.
Meet & greet clients and visitors.
Other tasks as assigned.
Requirements for the incumbent to be successful in the role:
5-10 years of experience in office management & administrative support.
Knowledge of facilities management.
Excellent interpersonal and customer service skills with the ability to work with a broad range of dynamic personalities.
Excellent time management skills with a proven ability to meet deadlines in a fast-paced environment.
Excellent verbal and written communication skills.
Proficient with Microsoft Office Suite with a willingness to learn new software and skills.
Results-driven; Energetic and Outgoing individual Ability to multi-task, think critically and have attention to detail.
Ability to work collaboratively in a team environment.
